LCPR OS Privacy Policy

Le Chateau Pet Resort ("LCPR," "we," "us," or "our") recognizes the importance of protecting the information of our team members. This Privacy Policy describes how information is collected, used, disclosed, retained, and protected when authorized team members use LCPR OS.
Please review this Privacy Policy carefully. By selecting Sign in with Google, you acknowledge that you reviewed this policy and understand the practices described below.
LCPR OS is an internal business system. This policy applies only to information processed through LCPR OS and does not replace other LCPR employment notices or policies. It does not create an employment contract or change the at-will employment relationship.
Information we collect
LCPR OS may process the following categories of information:
- Identity and access information. Name, work email address, Google profile information, profile image, role, work location, and group memberships.
- Employment and directory information. Job title, department, manager, employment status, start date, contact details, birth date, training information, and company equipment assignments.
- Scheduling and work records. Shifts, availability, time entries, time-off requests and balances, training progress, recorded training time, onboarding status, and related work notes.
- Communications and support information. Feedback, support requests, Pawfessor conversations, message ratings, cited sources, and diagnostic details submitted or generated during use.
- Operational information. Authorized records made available through connected company systems such as Google Workspace, Rippling, When I Work, Gingr, and UniFi.
We collect this information from you, your LCPR or Google account, authorized managers and administrators, and approved company systems.
Information collected automatically
When you use LCPR OS, we may automatically receive or create account, device, and activity information, including:
- Sign-in events, session information, and last-active time.
- The last LCPR OS page visited and selected resource views.
- Browser, device, operating-system, and approximate network information.
- Release-note reads, feature usage, and page-performance information.
- Error, security, and troubleshooting records.
LCPR OS does not record keystrokes or activate your device's microphone or camera.
How we use information
We use LCPR OS information to:
- Authenticate users and enforce role- and location-based access.
- Provide employee resources, schedules, training, and operations tools.
- Support onboarding, offboarding, directory accuracy, and access reviews.
- Measure training completion and maintain required business records.
- Respond to feedback, provide support, and improve approved workflows.
- Detect misuse, troubleshoot errors, and protect company systems.
- Meet legal obligations and establish, exercise, or defend legal rights.
We do not sell employee personal information. Authorized managers or administrators may review relevant usage records for the purposes described in this policy.
Pawfessor artificial intelligence
Pawfessor is an AI-assisted information tool available only to team members age 18 or older. Questions, responses, feedback, cited sources, and diagnostic traces may be stored and reviewed by authorized administrators. Prompts and approved source content are sent to Google's Gemini services to generate responses.
Do not enter medical details, payroll or banking information, passwords, disciplinary matters, customer-sensitive information, or other unnecessary confidential personal information into Pawfessor. Pawfessor is not used as the sole basis for hiring, termination, discipline, promotion, pay, scheduling, or another employment decision.
Retention
We retain information for as long as reasonably needed for the purposes described in this policy, including employment and training records, operations, security, dispute resolution, legal obligations, and valid legal holds. Information should be deleted or deidentified when those purposes no longer apply.
Security
We use administrative, technical, and physical safeguards appropriate to the nature of the information. No system or Internet transmission can be guaranteed to be completely secure. Access to secure areas is restricted to authorized users. Team members are responsible for protecting their accounts and promptly reporting suspected unauthorized access, a lost device, or an accidental disclosure.
Your choices and requests
Team members may ask about their LCPR OS information, request correction of inaccurate directory data, report a privacy or security concern, or ask for an accessible alternative. Some records may need to be retained for legitimate employment, security, operational, or legal purposes.
Browser settings may be used to manage cookies and local storage, subject to the access limitations described above.
Changes to this policy
We may update this Privacy Policy as LCPR OS, company practices, service providers, or legal requirements change. The effective date shown at the top identifies the current version. Material changes may require additional notice or acknowledgment.
